Quick overview
We act as an agency
Best Vacation Travel acts as a travel agency for third-party suppliers such as hotels, cruise lines, wholesalers, and payment providers.
Payments do not always mean confirmation
A booking is confirmed only when a valid confirmation number, locator, or voucher is issued.
Supplier rules apply
Cancellation policies, penalties, taxes, amenities, and booking restrictions may depend on the supplier.

3) Eligibility & your account
- You must be at least 18 years old and capable of entering into legally binding agreements.
- You agree to provide truthful, complete, and accurate information.
- You are responsible for ensuring traveler names match passports or government-issued identification.
- You are responsible for maintaining the confidentiality of any credentials used to access our Services.
4) Our role as agent
We act solely as an independent travel agency/agent for third-party suppliers, including hotels, cruise lines, wholesalers, bedbanks, destination management companies, transfer providers, insurers, and payment service providers.
Your contract for the travel product is with the applicable supplier, not with us as the direct provider, unless expressly stated otherwise in writing.
5) Bookings & confirmations
- Quotes are not guaranteed: availability and pricing may change until payment is processed and the booking is confirmed.
- Traveler data: you must review all names, dates, occupancy details, and contact information before purchase.
- Confirmation required: a booking is confirmed only when a valid confirmation number, voucher, or locator is issued.
- Special requests: bed type, connecting rooms, early check-in, late check-out, or accessibility requests are not guaranteed unless confirmed in writing.
- Supplier approval: some reservations require manual or delayed confirmation after payment authorization or payment capture.
- Right to decline: we may decline a booking request where fraud, pricing error, incomplete documentation, or supplier refusal is involved.
6) Prices & payments
- Currency: pricing may be shown in USD or another currency made available by the supplier.
- Price accuracy: displayed prices may contain typographical, technical, or transmission errors.
- Payment timing: some bookings are charged at booking and others later, depending on the supplier or rate type.
- Deposits and balances: certain bookings may require partial payment or future balance payment by a stated due date.
- Failure to pay: missing a payment deadline may result in cancellation and loss of amounts already paid, subject to supplier rules.
- Authorization vs. confirmation: successful payment does not itself guarantee supplier confirmation.
- Pricing errors: if a material pricing error occurs, we may cancel the booking and refund amounts paid, unless you choose to proceed at the corrected price.
- Payment authority: the payer confirms that they are the cardholder or are authorized to use the payment method, and that the billing and traveler information is accurate.
- Credential and device security: you are responsible for protecting the card, bank account, digital wallet, device, email account, passwords, passcodes, and authentication methods that you use to access or pay through our Services. Do not share them with another person or leave them accessible on an unsecured device.
- Checkout review: before payment, you must review the total, currency, itinerary, traveler details, supplier conditions, and cancellation terms displayed for the selected product.
| Item | When charged | Notes |
|---|---|---|
| Refundable hotel | At booking or at check-in | Cancellation rights depend on supplier deadline |
| Non-refundable hotel | Usually at booking | May carry full penalty after purchase |
| Cruise deposit | At booking | Balance due by cruise line deadline |
| Vacation package | Per package rules | Separate supplier conditions may apply to each component |
7) Hotel bookings
- Hotel reservations are governed by the rate conditions, cancellation deadline, occupancy limit, and property rules displayed before checkout and in the confirmation.
- Room photographs, bed configuration, views, amenities, ratings, and map locations are supplied or described by third parties and may be representative; the confirmed room category controls.
- Guests must present the documents, payment method, and deposit or incidental authorization required by the property at check-in. A property may refuse check-in when its stated requirements are not met.
- Early check-in, late check-out, connecting rooms, accessible rooms, bedding preferences, and special requests are requests only unless the property confirms them in writing.
- For a stay that is shortened, delayed, or not used, any refund or credit remains subject to the confirmed rate and the property's applicable policy.
8) Flight bookings
- Air transportation is provided by the operating carrier. The airline's contract of carriage, fare rules, baggage rules, check-in requirements, and schedule rules apply in addition to these Terms.
- A flight request is not ticketed or confirmed until an airline ticket number or other valid booking confirmation is issued. Fares and availability can change before ticketing.
- Traveler names, dates of birth, and travel-document details must exactly match the documents used for travel. Airline name corrections or changes may be unavailable or may carry a fee.
- Unused segments, missed flights, late arrival at the airport, voluntary itinerary changes, seats, baggage, and ancillary services are handled under the applicable airline or fare rules.
- Nothing in these Terms limits a refund or other remedy required by applicable law, including a refund due when an airline cancels or significantly changes an eligible flight and the traveler does not accept an offered alternative.
9) Cruise bookings
- Cruise fares, deposits, final-payment dates, promotions, cabin categories, and cancellation penalties are determined by the cruise line and the fare conditions accepted at checkout.
- The cruise line may change the ship, itinerary, ports, embarkation or disembarkation times, onboard activities, dining arrangements, or cabin assignment when permitted by its terms or operational conditions.
- Guests are responsible for arriving on time with all passport, visa, transit, health, and boarding documents required by the cruise line and authorities. Denied boarding or missed embarkation may result in no refund.
- Unless clearly included in your booking, gratuities, port expenses, transfers, shore excursions, specialty dining, beverages, internet, medical care, and onboard purchases may be charged separately.
10) Vacation packages
A vacation package may combine hotel, flight, cruise, transfer, or other components supplied by different parties. Each component remains subject to its own confirmation, fare or rate conditions, and cancellation rules.
- A change, cancellation, schedule disruption, or supplier refusal affecting one component may affect the availability, price, or use of another component.
- We do not promise that a component can be canceled, replaced, re-priced, or refunded independently of the package unless the applicable supplier rules allow it.
- We will communicate the available options and any supplier-approved refund, credit, or repricing before processing a requested voluntary change when practicable.
11) Changes & cancellations
All changes and cancellations must be requested through our team and are subject to supplier rules, availability, price differences, and applicable fees or penalties.
- Refundable rates: must be canceled within the applicable deadline and according to supplier policy.
- Non-refundable rates: generally cannot be canceled, changed, transferred, or refunded.
- Name changes: may be restricted or prohibited by the supplier.
- Travel-started services: no partial refunds are guaranteed for unused nights, missed segments, shortened stays, or missed embarkation.
- Cruises: cruise lines usually apply tiered penalties that increase closer to sailing.
12) No-shows & refunds
- No-show: if you fail to check in, embark, or use the reservation as scheduled, the booking may be treated as a no-show with no refund.
- Approved refunds: refunds, when available, are subject to supplier approval and processing time.
- Original payment method: refunds are generally returned to the original form of payment unless otherwise required by law.
- Bank timing: once processed, your bank or card issuer may take additional business days to post the refund.
13) Taxes, fees & local charges
Certain mandatory or optional charges may be collected directly by the supplier and may not be included in the price displayed unless expressly stated.
- Resort fees
- City taxes or tourism taxes
- Security deposits
- Port charges, gratuities, and onboard fees
- Parking, Wi-Fi, energy, or facility surcharges
14) Traveler responsibilities
- Review all confirmations, invoices, traveler names, dates, and pricing immediately upon receipt.
- Comply with all supplier rules, including check-in times, age requirements, occupancy limits, and onboard conduct rules.
- Arrive on time for check-in, departure, transfer, embarkation, and all required procedures.
- Maintain valid travel documents, visas, vaccination records, and authorizations.
- Ensure you are medically fit to travel.
- Protect your belongings and personal items during travel.
15) Third-party suppliers
We do not own, manage, control, or operate the hotels, cruise lines, transportation services, activities, or other travel products offered through our Services.
We are not responsible for the acts, errors, omissions, representations, breaches, negligence, or insolvency of any supplier.
16) Supplier content, images & ratings
- Hotel ratings, classifications, reviews, amenities, maps, and descriptions may come from suppliers or third-party providers.
- Star ratings may vary by country or supplier criteria.
- Property images may be representative and may not reflect the exact assigned room.
- Renovations, maintenance, closures, or amenity restrictions may occur without notice.
17) Travel documents & health
- You are solely responsible for obtaining and carrying valid passports, visas, entry permits, transit documents, and any other required documentation.
- Passport validity rules may require validity beyond the end of your trip.
- Health, vaccination, testing, and medical requirements may vary by destination and may change at any time.
- Travel to certain destinations may involve greater risks, and you assume such risks voluntarily.
18) Travel insurance
We strongly recommend that all travelers purchase comprehensive travel insurance covering cancellation, interruption, delay, baggage loss, supplier default where available, and medical emergencies.
- Insurance is not included unless explicitly stated.
- Coverage depends on the policy issued by the insurer.
- You are responsible for reviewing exclusions, limitations, and eligibility requirements.
19) Payment processors
Payments are processed through third-party payment processors, including Stripe. Any financing option, if offered at checkout, is governed by the financing provider's separate terms and disclosures.
- We do not store full payment card or bank account details on our servers unless expressly stated through a secure process.
- Payment acceptance, fraud screening, financing approval, and installment eligibility are determined by the processor or financing provider.
- Financing products are subject to separate provider terms and disclosures.
- We are not responsible for processor declines, financing denials, account limitations, or payment holds.
20) Identity verification, records & payment disputes
- We may request identity verification, billing verification, traveler documentation, or authorization forms before completing a booking.
- We may cancel or refuse a booking if fraud, abuse, suspicious activity, or unauthorized payment use is suspected.
- We are not responsible for a loss, theft, compromise, or misuse of a customer's card, payment method, device, email account, account credentials, or authentication method that occurs outside our systems or because the customer failed to safeguard them. This does not exclude liability that cannot lawfully be excluded or liability caused by our own failure to meet applicable security obligations.
- By submitting payment, the payer certifies that they are authorized to use that payment method for the stated purchase and authorizes the amount and travel product shown at checkout. A later claim that a card or device was stolen does not by itself establish that a completed booking was unauthorized; the claim will be assessed using the available evidence and the applicable payment-network and legal rules.
- If you suspect unauthorized use, notify your card issuer or payment provider and contact us without delay. We may pause fulfillment, request verification, and cooperate with the issuer, processor, law enforcement, and affected supplier as appropriate.
- For a booking request, we may retain the checkout acceptance, terms version, timestamp, IP address, browser or device information, traveler and itinerary details, payment-processor references, confirmation records, communications, and supplier documentation as permitted by law and our Privacy Policy.
- If you believe there is a problem, please contact us promptly with the booking code and relevant details so we can investigate and seek a supplier resolution where applicable.
- We may provide accurate, relevant booking and payment records to a payment processor, card network, bank, insurer, supplier, or authority to investigate a claim, prevent fraud, or respond to a payment dispute. Nothing in these Terms restricts a consumer right that cannot lawfully be waived.
21) Permitted website and app use
- You may not scrape, copy, harvest, mirror, or systematically extract pricing, availability, content, or data.
- You may not use bots, scripts, crawlers, or automated tools without written permission.

- Hotels may substitute room types of similar class or value where permitted.

- Amenities, restaurants, pools, entertainment, or services may be unavailable during part or all of your stay or sailing.
- Overbookings, closures, and inventory recalls may occur.
